POLICIES

  • GENERAL CANCELLATION REQUIREMENT

    All cancellations or membership changes must be submitted in writing to info@stringtheoryjiujitsu.com. A minimum of thirty (30) days written notice is required for all cancellations.

    Memberships and recurring billing remain active until written notice is received and processed by String Theory Jiu Jitsu LLC (“STJJ”). Verbal requests, text messages, direct messages, or notices given to instructors or staff do not constitute valid cancellation.

    Cancellation requests take effect thirty (30) days from the date submitted and are not tied to billing cycles. 

    MONTH-TO-MONTH MEMBERSHIPS

    Month-to-month memberships require thirty (30) days written notice to cancel.

    If a billing date occurs within the 30-day notice period, one final payment will be processed regardless of usage. Membership access will remain active throughout the entire notice period.

    No refunds, credits, or prorated billing will be issued for unused time, missed classes, or non-attendance.

    TERM MEMBERSHIPS (12-MONTH AGREEMENTS)

    Memberships with a defined term commitment, including twelve (12) month agreements, are subject to early termination conditions.

    Early cancellation for reasons outside of approved exceptions will result in a fee equal to one (1) additional month of the membership rate. This fee is applied in addition to any charges incurred during the required 30-day notice period.

    This fee does not replace or waive any charges incurred during the required 30-day notice period.

    All outstanding balances must be paid in full before cancellation becomes effective.

    At the end of the initial term, memberships automatically continue on a month-to-month basis unless canceled with proper notice.

    RELOCATION

    Cancellation without an early termination fee may be permitted in the event of relocation more than twenty-five (25) miles from STJJ.

    Reasonable documentation may be required. The standard 30-day notice requirement still applies unless otherwise approved.

    MEDICAL CANCELLATION

    Cancellation without an early termination fee may be permitted due to a medically documented condition that prevents participation for an extended period.

    Documentation from a licensed healthcare provider may be required. Approval is at the discretion of STJJ.

    MEMBERSHIP HOLDS / FREEZES

    Membership holds may be requested for medical reasons or travel exceeding thirty (30) consecutive days.

    All hold requests must be submitted in writing and are subject to approval. Holds must be submitted prior to the next billing date to take effect before that billing cycle. Holds cannot be applied retroactively.

    Holds may not exceed ninety (90) days per calendar year unless otherwise approved.

    Membership terms will be extended by the number of days the membership is on hold.

    PRIVATE AND SEMI-PRIVATE LESSONS

    Private and semi-private lessons require a minimum of twenty-four (24) hours’ notice to cancel or reschedule.

    Late cancellations and no-shows will be charged in full, and the session will be forfeited.

    CLASS PACKS, WORKSHOPS, AND DROP-INS

    All sales related to class packs, seminars, workshops, and drop-ins are final.

    No refunds, transfers, or extensions will be issued for unused or expired sessions except at the discretion of STJJ.

    BILLING AND FAILED PAYMENTS

    A valid payment method must be maintained on file at all times.

    A $25 returned payment fee may be applied to any failed transaction. Membership access may be suspended if an outstanding balance remains unpaid.

    CHARGEBACKS AND PAYMENT DISPUTES

    All billing concerns must be addressed directly with STJJ before initiating a dispute.

    Chargebacks or payment disputes for valid charges may result in account suspension and additional fees.

    POLICY UPDATES

    STJJ reserves the right to update or modify this policy at any time. Updates will be posted on the STJJ website.

  • GENERAL PURCHASE TERMS

    All purchases made through String Theory Jiu Jitsu LLC (“STJJ”), including memberships, class packs, drop-ins, workshops, seminars, private lessons, merchandise, and any other products or services, are final and non-refundable unless otherwise stated in writing by STJJ.

    All customers are responsible for reviewing pricing, terms, and conditions prior to completing a purchase. Once a transaction is completed, it is considered final.

    MEMBERSHIP PURCHASES

    All memberships require an active payment method on file. Recurring billing is processed automatically according to the terms of the selected membership.

    A valid payment method must be maintained at all times. Failure to maintain valid billing information may result in suspension or termination of membership access.

    Membership purchases are final and are not eligible for refunds or prorated credits.

    MEMBERSHIP FEES AND ENROLLMENT CHARGES

    Any enrollment, initiation, or registration fees are non-refundable and due at the time of purchase.

    Membership pricing and fees are subject to change. Any applicable changes will be communicated as required.

    CLASS PACKS AND DROP-INS

    Class packs and drop-in sessions are non-refundable and non-transferable.

    Class packs may have expiration dates, and unused sessions expire on the date specified at the time of purchase. Extensions are not guaranteed and may be granted at the discretion of STJJ.

    WORKSHOPS, EVENTS, AND SEMINARS

    All workshop, event, and seminar purchases are final.

    No refunds or credits are issued for cancellations, missed attendance, or scheduling conflicts initiated by the customer.

    If STJJ cancels an event, a full refund or account credit may be provided.

    PRIVATE AND SEMI-PRIVATE LESSONS

    Private and semi-private lessons are non-refundable and require payment at the time of booking.

    Lesson packages may have expiration terms, and unused sessions may expire if not used within the specified timeframe.

    Returns or exchanges may be permitted only for unworn, unused items in original condition with tags attached and are subject to approval by STJJ.

    FAILED PAYMENTS AND OUTSTANDING BALANCES

    Timely payment of all charges is required.

    Returned-payment fees may be applied to failed transactions. Outstanding balances may result in suspension or termination of access to services until resolved.

    COLLECTIONS AND OUTSTANDING BALANCES

    STJJ reserves the right to pursue collection of unpaid balances.

    Customers are responsible for any collection costs, administrative fees, legal fees, and court costs incurred in the recovery of unpaid balances.

    CHARGE BACKS AND PAYMENT DISPUTES

    All billing concerns must be addressed directly with STJJ prior to initiating a dispute.

    Charge backs or payment disputes for valid charges may result in account suspension, additional fees, and potential collection actions.

    POLICY UPDATES

    STJJ reserves the right to update or modify this policy at any time. Updated versions will be posted on the STJJ website.

    This Purchase Policy applies to all website users, customers, members, and participants.

    Formal agreement to this policy and all other STJJ policies is obtained through signed waivers, contracts, or other written acknowledgments at the time of enrollment or purchase.

    Merchandise may be eligible for return or exchange only if the item is defective, unworn, and in its original condition with tags attached.

  • GENERAL EXPECTATIONS

    All members, visitors, and participants at String Theory Jiu Jitsu LLC (“STJJ”) are expected to conduct themselves in a respectful, safe, and professional manner at all times.

    STJJ is committed to maintaining a positive, structured, and welcoming training environment for all individuals.

    RESPECT AND SAFETY

    All individuals must treat instructors, staff, and training partners with respect.

    Unsafe, reckless, or overly aggressive behavior is not permitted. All training must be conducted in a controlled and responsible manner.

    Any behavior that creates an unsafe environment may result in immediate removal from training.

    HYGIENE AND CLEANLINESS

    Proper hygiene is required for all participants.

    Training attire, including uniforms and gear, must be clean and in good condition. Fingernails and toenails must be trimmed and maintained.

    Individuals who are sick, have contagious conditions, or have open wounds are not permitted to train.

    Shoes or footwear are not permitted on the training mats under any circumstances. Proper footwear must be worn at all times when off the mats, including in hallways, restrooms, and common areas. Individuals must transition between footwear and bare feet at the mat boundary to maintain cleanliness and hygiene.

    TRAINING ETIQUETTE

    Participants are expected to be on time and prepared for class.

    Instruction must be followed at all times. Disruptive behavior during class is not permitted.

    Instruction is provided by STJJ instructors only. Unsolicited coaching, correcting, or instructing other students during class is not permitted.

    Respect for training partners is required, including controlled application of techniques and immediate compliance when a training partner taps.

    CONDUCT AND PROFESSIONALISM

    Harassment, discrimination, intimidation, or inappropriate behavior of any kind will not be tolerated.

    Ego-driven, disrespectful, or disruptive conduct that negatively impacts the training environment is not permitted.

    Parents and spectators must not coach, instruct, or interfere during classes. All instruction is provided by STJJ staff.

    STJJ maintains a team-oriented culture and expects all members to contribute positively to the academy environment.

    FACILITY USE

    All equipment, mats, and facilities must be used appropriately and respectfully.

    Only authorized participants are permitted on the training mats during scheduled classes.

    Damage to property, misuse of equipment, or failure to follow facility rules may result in disciplinary action.

    ENFORCEMENT

    STJJ reserves the right to deny participation, suspend access, or terminate membership for any individual who violates this Code of Conduct or any other STJJ policies.

    No refunds, credits, or prorated amounts will be issued in the event of suspension or termination due to violations of this Code of Conduct or any STJJ policies.

    Enforcement actions are determined at the sole discretion of STJJ.
